Data retention schedule

What we hold, how long we hold it, and the reason we need it for that long. This schedule sits alongside our privacy notice.

Retention periods

  • Account and profile

    For the life of the account, then 30 days after deletion

    Operating your account and handling any final billing or support query.

  • Property records

    For the life of the account, or until you delete the property

    Maintaining your portfolio and review schedule.

  • Draft assessments

    12 months after last activity, then deleted

    Abandoned drafts have no record value and are cleared automatically.

  • Finalised reports and snapshots

    6 years from finalisation

    Keeping a durable record of the assessment you relied on.

  • Photo evidence

    Same period as the report it is bound to

    Evidence is only meaningful alongside the report that cites it.

  • Share links

    Until expiry or revocation, then 90 days for the view log

    Showing you who accessed a shared report and when.

  • Email delivery logs

    12 months

    Proving whether a verification or reminder message was delivered.

  • Analytics events

    25 months

    Understanding usage trends year on year; no personal data is held.

  • Error and job logs

    90 days

    Diagnosing faults and confirming scheduled jobs ran.

  • Payment records

    6 years

    Tax and accounting obligations. Card details are held by the payment provider, not us.

Deletion and anonymisation

When a period ends, records are deleted. Where a record must be kept for accounting or audit reasons, identifying fields are removed and only the non-identifying remainder is retained. Analytics events contain no personal data at any point, so they are simply deleted at the end of their period.
